Feature rich telephone system delivers Enviromail business benefits

“KC made the process of selecting and installing our new phone system easy, and the solution they’ve put in place has improved the way we communicate.” Katy Swaby, Director, Enviromail
Enviromail is a Hull-based social enterprise providing eco-friendly business services to local private and public sector organisations.
Established in 2007, its services include mailing, archiving, confidential waste management and recycling
Enviromail is ISO10041 accredited and is dedicated to offsetting the environmental impact of its services. It is a true social enterprise, reinvesting its profits into projects that will improve both the local community and the environment.
A move to new premises in 2010 to support the firm’s growth prompted the purchase of a new telephone system. After considering a range of options Enviromail selected a Panasonic Network Communication Platform (NCP) system from KC.
Feature-rich phone system delivers business benefits
Panasonic’s NCP telephone systems incorporate a range of advanced features to support efficient communication.
As a quality driven enterprise that wants to give customers the best possible experience, Enviromail was attracted by the caller processing facility on the Panasonic system, which enables callers to be transferred to another extension or a voicemail service rather than getting a busy tone.
Enviromail Director Katy Swaby said: “We don’t want to miss a single call, and we certainly don’t want to risk potential customers calling one of our competitors if they can’t get through to us, so being able to route calls elsewhere on busy is essential.”
Another feature that helps to prevent lost calls is the music on hold facility, as Katy explains: “One of the things we do as a social enterprise is offer work placements to people who’ve been out of work for a while, to help prepare them for future employment. Some are not confident using the phone and have hung up when they’ve been put on hold, so having music on hold has been important to us.
“It also helps that our work placement trainees find the handsets simple to use, as being able to get up to speed with them quickly builds their confidence.
“There are other aspects of the system that make it easy for customers to contact us,” Katy adds. “We’re able to put an outgoing call bar on specific handsets, which enables us to have a hotline function without the risk of misuse.
“We also have a bell for the system in the factory, so if the whole team is working on a job, we can still hear the phone from the office.”
Scalability supports future growth
Scalable and flexible, the Panasonic system is the perfect choice for small businesses that are focused on future growth.
Katy says: “The more successful we are, the more we can give back to the local community and invest into environmental projects, so our aim is continued growth and sustainability.
“We understand that as our operations grow, the Panasonic system can expand with us, making our investment future-proof.”
KC Account Manager Hayley Coggin said: “Enviromail’s currently using the system with ISDN lines, which provide the flexibility of multiple incoming and outgoing channels, but if they want to make use of Voice over Internet Protocol (VoIP) technology for additional features and more cost-effective communications in the future, the system allows for this too.”
